Pronouns Feature in Microsoft 365

Microsoft has introduced a new Pronouns feature in Microsoft 365, designed to help support an inclusive environment by allowing individuals to display their pronouns on their profile cards across key applications such as Microsoft Teams and Outlook on the web. This feature is optional for each user and provides a simple, respectful way to communicate how they wish to be addressed. Participation is completely voluntary. Microsoft emphasizes that pronouns should always be self‑chosen and no one should be pressured to display theirs. Pronouns may include sets such as she/her, he/him, they/them, or custom text entries. Once added, they appear to people inside your organization, including guest accounts.

How the Feature Works

The Pronouns feature is OFF by default and must be enabled by your organization’s Microsoft 365 administrator before users will see the option. After it is enabled, it can take up to 7 hours for the feature to appear for all users. Once available, users can view or add pronouns through their profile card in both Teams and Outlook on the web. Updates appear immediately once saved. Pronouns are stored with users’ Microsoft 365 profile data and are visible only to members of the same organization (including guests).

How to Add Your Pronouns

Below are the steps for updating pronouns on your Microsoft 365 profile. These steps apply once your organization’s administrator has enabled the feature.

Add Pronouns in Microsoft Teams

  1. Open Microsoft Teams.
  2. Select your profile picture in the top-right corner.
  3. On your profile card, select + Pronouns or select the pronouns already displayed.
  4. Choose from Microsoft’s example sets (English only) or type your own.
  5. Select Save, then click Got it when the confirmation appears.
    • Your changes will appear immediately across Teams and Outlook.

Add Pronouns in Outlook on the Web

  1. Open Outlook on the web and click your name or profile picture.
  2. Select + Pronouns (or the pronoun field if you’ve added them previously).
  3. Choose an example or type a custom entry (up to 60 characters).
  4. Select Save to update your profile.

Privacy & Considerations

Before adding your pronouns, it’s important to understand the following:
  • Pronouns are visible to everyone in your organization, including guest accounts.
  • Adding pronouns is optional, and Microsoft advises that individuals should only share pronouns when they feel safe and comfortable doing so.
  • Removing your pronouns may still leave them visible in some experiences for several hours due to system propagation.
  • Pronouns are stored with other profile information and may appear in Copilot-generated content such as emails, summaries, or meeting recaps.
